Administrative Assistant
Purpose: The
Administrative Assistant provides support to every aspect of the administrative
department as well as being key member of the accounting and fundraising
departments within administration.
Key Accountabilities:
Greet visitors to the administrative wing, ascertain
their nature of business, and direct them to appropriate individuals.
Answer phone calls and direct calls to appropriate
parties or take messages.
Purchase supplies and track supplies purchases as
needed by administration, operations and maintenance.
Assist staff with mailing packages.
Accept client and third party payments, process them
in accounting software and prepare for deposit in bank.
Record client invoices and generate client statements
for distribution.
Answer account balance inquiries from clients.
Aid the billing department with tasks and projects as
needed.
Process donations through fundraising software and
prepare for deposit in bank.
Manage donation thank you program.
Maintain donor account information in fundraising
software.
Assist the development department in generating
reports and queries from fundraising software.
Compile data and perform queries in operational
database programs.
Assist administrative personnel with projects and
tasks as needed.
Assist in preparation of newsletters and other
internal communications.
Other duties as assigned.
Position
Requirements:
High School Diploma or Equivalent
Proficient with Microsoft Office applications
Prior experience working in Accounts Receivable
transaction cycle
Superior oral and written communication skills
Ability to work on multiple projects/tasks
simultaneously
Friendly and personable demeanor
Reliable, punctual and efficient
Ability to two way verbally communicate
