Administrative Assistant (REACH Program)

PURPOSE OF POSITION:

 

To assist REACH’s strategic partners in achieving their Economic Inclusion goals through aggressively working to facilitate activities that will grow the number of certified Small & Emerging Businesses (SEB’s) in the Omaha Metro and their capacity to do business.  

 

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

1.     Preference to be fluent in Spanish and English with the ability to read, write and speak both.

2.     Be a self-starter that can manage their time and multiple projects at one time.

3.     Perform BRE (Business Retention & Expansion) and follow-up calls via telephone to business owners

4.     Field calls from small businesses, identify their needs and refer them to the appropriate staff and/or strategic partner entity.

5.     Engage in the sign-up of small businesses in ContractorFIT, an on-line contractor identification system.   

6.     Facilitate internal reporting processes such as expense reports and requests for REACH staff.   Organize and report monthly information to Chamber’s Economic Development department and to REACH’s institutional strategic partners through standardized reporting procedures.

7.     Assist in the planning and facilitation of educational programming; many times in conjunction with several other entities that have synergistic program objectives. This may involve establishing, advertising and administrating the back-end functions of Zoom educational sessions, coordinating with speakers, and setting up venues (when sessions are in-person).

8.     Be able to establish and maintain relationships with business owners, contractor groups and community organizations.  

9.     Develop relationships and maintain regular contact with prospects/leads through various other recruitment activities that include: engaging in proactive outreach by calling upon prospects in-person, over the phone and via electronic means; trade shows and conferences; walk-ins; inbound phone calls; and web inquiries.

10.  Work as a seamless organization with other Chamber departments, our Greater Omaha Partnership members and with our regional economic development partners.

11.  Track and record all prospect activity in the REACH reporting document, and where appropriate, the Partnership’s CRM software in a real-time basis following established protocol.

12.  Respond to general information requests on starting and growing a business in the Greater Omaha area from information provided by staff.

13.  Conduct research on industry specific niches and identify key firms and individuals.

14.  Serve as reliable back-up and second-in-command for Certificates of Origin for the department. When the ED Executive Assistant is out or unavailable, the Administrative Assistant is first point of contact for Certificates.

 

OTHER DUTIES AND RESPONSIBILITIES:

1.     Coordinate activities and projects with other departments.

2.     Assist with various Chamber activities

FISCAL RESPONSIBILITY:

 

All expenditures require approval of REACH executive director and/or Chamber’s Vice President of Economic Development.

Education and related work experience

 

Experience as an administrative assistant, direct customer contact, marketing, entrepreneur technical assistance and/or sales is desired.

 

Certifications, Licenses, Designations

 

Valid Driver’s License

 

Other Skills and Qualifications

1.     Proficient in use of Microsoft Word, Excel, PowerPoint and some experience with a Customer Relationship Management software (CRM) is a plus.

2.     Social media—Facebook, LinkedIn, Twitter.

3.     Strong customer service skills.

4.     Ability to operate audio visual equipment.

5.     Demonstrated ability to coordinate multiple projects with short deadlines.

6.     Excellent attention to detail.
